Depending on how you use our website or services, we may process information such as:
Contact information
Your name, company name, email address, telephone number and other contact information you provide.
Project and inspection information
Information about the property, building, solar installation, industrial asset, infrastructure or other location for which you request an inspection, including the approximate size and location of the asset.
Price-estimate information
Information entered into our online inspection price-estimation tool, including inspection category, project size, location and other project requirements.
Communication data
Information contained in emails, enquiries, telephone conversations or other communications with us.
Contract and billing information
Where you become a customer, we may process business contact information, quotation information, invoices, payment-related information and records necessary to perform and document the business relationship.
Technical information
When you visit our website, technical information may be processed automatically, including IP address, browser type, device information, operating system, date and time of access, referring page and pages visited.
4. Why we process personal data
We process personal data for purposes including:
responding to enquiries;
preparing inspection estimates and quotations;
arranging and performing drone-based thermal inspections, mapping and related services;
communicating with customers and prospective customers;
fulfilling contracts and taking steps requested before entering into a contract;
maintaining the security and functionality of our website;
protecting our legitimate business interests;
complying with legal, tax, accounting and regulatory obligations;
improving our website and services; and
analysing website usage where the visitor has provided the required consent.
We do not sell personal data.
5. Legal basis for processing
Depending on the circumstances, processing may be based on:
Contractual necessity or pre-contractual measures
For example, where you ask us to provide a quotation or inspection.
Consent
For example, where consent is required for optional analytics cookies or certain marketing activities. Consent may be withdrawn at any time.
Legal obligations
Where we are required to retain or disclose information under applicable commercial, tax, regulatory or other legislation.
Legitimate interests
We may process information where necessary for legitimate business interests, such as responding to business enquiries, protecting our systems, preventing misuse, documenting business communications and managing customer relationships, provided those interests are not overridden by the rights and freedoms of the individual concerned.
6. Inspection price-estimate tool
Our website provides access to an online inspection price-estimate tool.
When you use this tool, you may be asked to provide information about the type of asset, approximate project size, location, inspection requirements and your contact details.
This information is used to:
calculate an indicative price range;
understand the scope of the proposed inspection;
review your project requirements; and
contact you with a more detailed quotation where appropriate.
The estimate generated by the tool is indicative and does not constitute a binding quotation or contract.
The tool may automatically calculate an estimated price based on the project information entered. This calculation does not constitute automated decision-making that produces legal or similarly significant effects concerning an individual.
7. Contact enquiries
If you contact us by email, telephone, website form or another communication method, we process the information you provide for the purpose of responding to your enquiry.
Where your enquiry relates to a possible inspection or other service, processing is generally necessary to take steps at your request before entering into a contract.
Where the communication does not lead to a business relationship, we may retain it for a reasonable period for documentation and follow-up purposes.
8. Website hosting and technical data
When the website is accessed, our website platform, hosting providers and technical service providers may automatically process technical information necessary to deliver the website securely.
This may include:
IP address;
date and time of access;
requested page or file;
browser and device information;
operating system;
referring website; and
technical error or security information.
This processing is necessary for the secure and reliable operation of the website, troubleshooting, protection against attacks and prevention of misuse.
Technical log information is retained only for as long as reasonably necessary for these purposes unless longer retention is required in connection with a security incident or legal obligation.
9. Cookies and similar technologies
Our website may use cookies and similar technologies.
Some cookies are technically necessary for the website to function correctly. These may be used without consent where permitted by applicable law.
Optional cookies, including analytics cookies, are activated only where the required consent has been provided through our cookie-consent system.
Visitors can accept or reject optional cookies and may change their cookie preferences where the website provides this functionality.
The specific cookies and services currently active on the website should be displayed through the website's cookie-consent interface.
Withdrawing consent does not affect the lawfulness of processing carried out before the consent was withdrawn.
10. Website analytics
Where analytics services are enabled, they are used to understand how visitors interact with the website, for example which pages are visited, how visitors reach the site and how the website performs.
Where required by applicable law, analytics services are activated only after the visitor has provided consent.
Analytics information is used to improve our website, understand the effectiveness of our content and identify technical or usability problems.
Users may reject analytics cookies through the cookie-consent system.
11. Service providers and recipients
We may use trusted third-party providers where necessary to operate our business and website.
These may include providers of:
website hosting and website infrastructure;
cloud and data storage;
email and communication services;
online forms and price-estimation tools;
IT security and technical support;
accounting and administrative services; and
professional legal, tax or business advisory services.
These providers are permitted to process personal data only where necessary for the relevant service and subject to applicable contractual and legal data-protection requirements.
Personal information may also be disclosed where required by law, a court, regulatory authority or competent public authority.
12. Data transfers between Kosovo and Germany
Sky Topography operates through a German parent company and a Kosovo operating company.
For this reason, business enquiries and customer information may in appropriate circumstances be accessed or processed in both Germany and Kosovo.
Where the GDPR applies to an international transfer of personal data outside the European Union or European Economic Area, Sky Topography uses an appropriate legal transfer mechanism where required by law.
Where third-party providers process information outside the European Union, Kosovo or the European Economic Area, appropriate legal safeguards are used where required.
13. Inspection and project data
When you commission an inspection, we may process project-related information including:
property or site location;
asset information;
inspection instructions;
photographs or other information supplied by the customer;
aerial RGB imagery;
thermal imagery;
mapping information;
inspection findings; and
reports produced as part of the service.
Much of this information relates to buildings, infrastructure or business assets rather than individuals.
However, where inspection data contains identifiable individuals or other personal information, such information will be handled in accordance with applicable data-protection requirements and used only where reasonably necessary for the inspection, documentation, safety, legal or contractual purpose concerned.
14. How long we retain information
We do not retain personal data longer than necessary for the purpose for which it was collected.
As a general principle:
Enquiry and quotation information may normally be retained for up to 24 months following the last substantive contact where no contractual relationship is established, unless there is a legitimate reason to retain it longer.
Where a contract is established, relevant customer, contractual, accounting and transaction information may be retained for the applicable statutory retention periods.
Technical and security data is normally retained for a substantially shorter period unless required for security investigations or legal purposes.
Information processed on the basis of consent is retained until the consent is withdrawn or the information is no longer required, subject to any legally required documentation of the consent.
Personal data may be retained longer where necessary to establish, exercise or defend legal claims or comply with a legal obligation.
15. Data security
We take reasonable technical and organisational measures to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access.
Measures may include encrypted transmission, access restrictions, account controls, secure storage, backups and appropriate internal access procedures.
No method of transmission or electronic storage can be guaranteed to be completely secure, but we take reasonable steps appropriate to the nature of the information being processed.
16. Your data-protection rights
Subject to the applicable legal requirements, you may have the right to:
request information about whether and how your personal data is being processed;
obtain access to your personal data;
request correction of inaccurate or incomplete information;
request deletion of personal data;
request restriction of processing;
object to certain processing;
receive personal data in a portable format where applicable;
withdraw consent at any time where processing is based on consent; and
object to direct marketing.
You also have the right not to be subject to a decision based solely on automated processing where that decision produces legal effects or similarly significantly affects you, subject to the exceptions provided by law.
To exercise your rights, contact:
We may request reasonable information to verify your identity before responding to a data-protection request.
